Privacy policy
We collect what we need to run a safe clinic and take payment, and nothing else.
Effective July 30, 2026
The short version
Youth Basketball Club collects your contact details, your child’s basic information, and a record of what you paid and which sessions your child attended. We use it to run the clinic and to email you about it. We do not sell your data, we do not share it with advertisers, and we never see your card number.
What we collect
From the parent or guardian:
- name, phone number and email address;
- whether you want reminder emails.
About each child:
- full name, age, grade and skill level;
- the clinic group they are assigned to and whether their registration is active;
- medical notes you choose to give us — allergies, asthma, medication, injuries — which coaches use to keep your child safe.
As you use the clinic:
- registrations and payments: which package, the amount, the method, and whether it is paid or outstanding;
- attendance: which sessions your child was checked in to;
- a log of the emails we sent you — the address, the subject and whether it was delivered — so we can tell what you did and did not receive;
- anything you send through the feedback form, including a contact detail if you give one.
Card details
Card payments are handled by Stripe. The card fields on our registration page are served by Stripe inside their own secure frame, so your card number, expiry and security code go straight to them and never reach our servers or our database.
What we store is Stripe’s reference for the payment, the amount, and whether it succeeded. Stripe processes the payment as its own data controller under its privacy policy.
Why we collect it
- To run sessions safely. Coaches need to know who is registered, which group they are in, and what medical information applies.
- To take and track payment, and to know when a pass is running out.
- To contact you with confirmations, receipts, session reminders, renewal notices and cancellations.
- To keep our own records for accounting and insurance.
We do not use your information to build advertising profiles, and we do not run advertising trackers on this site.
Who else sees it
Only coaches and clinic staff, plus the services we need to operate. Each of these sees only what its job requires:
- Supabase — hosts the database where the information above is stored.
- Vercel — hosts and serves the website.
- Stripe — processes card payments.
- Our email provider — delivers confirmations, receipts and reminders to your address.
We will disclose information beyond this only where the law requires it, or where it is necessary to protect a child from harm.
The parents’ WhatsApp group is separate. It is run by WhatsApp, not by us, and joining it makes your phone number and display name visible to the other members of that group. Joining is optional and you can leave at any time.
Children
Everything we hold about a child comes from their parent or guardian at registration. Children do not create accounts, we do not ask children for information directly, and we never send marketing to a child.
How long we keep it
We keep your family’s details while your child is registered with us and for a reasonable period afterwards, in case you come back for another season. Payment records are kept longer where accounting and tax rules require it. Medical notes are deleted when they are no longer needed to run sessions safely.
Your choices
- Stop reminder emails using the unsubscribe link at the bottom of any reminder. Confirmations and receipts for payments you made still go out, because they are a record of a transaction.
- See or correct what we hold — ask a coach and we will show you and fix it.
- Have it deleted.Ask us and we will delete your family’s information, keeping only what we are required to retain for accounting.
How it is protected
The site is served over HTTPS. Our database is not readable by the public: all access goes through the server, and the coach dashboard sits behind a password with rate-limited sign-in. Only coaches who need the roster have access to it.
No system is perfect. If a breach ever affects your family’s information, we will tell you what happened and what we did about it.
Changes and contact
If we change this policy we will update the effective date above, and we will tell families directly about any change that materially affects them.
